Purpose

This Email & Electronic Communications Policy (“Policy”) explains how SeenKind (“SeenKind”, “we”, “our”, or “us”) communicates with users electronically.

By creating an account, applying as a therapist, making a booking, or otherwise using the SeenKind Platform, you consent to receive electronic communications as described in this Policy.

This Policy should be read together with our:

You agree that SeenKind may communicate with you electronically through:

  • Email
  • In-platform notifications
  • Push notifications (if available)
  • SMS or text messages (if available and you have opted in or where permitted by law)
  • Other electronic communication methods made available through the Platform

Electronic communications satisfy any legal requirement that communications be provided in writing, where permitted by applicable law.

Use the unsubscribe link in any marketing email or update your account settings. Opting out does not affect essential service communications.

SeenKind may send session reminders approximately 30 minutes before a scheduled appointment begins, where supported by the Platform. Reminder timing may change as features evolve.

Mandatory Service Communications

Certain communications are essential to the operation of the Platform and cannot be disabled while your account remains active. These may include:

  • Security notifications
  • Password reset emails
  • Booking confirmations
  • Booking cancellations
  • Payment receipts
  • Therapist application decisions
  • Policy updates
  • Legal notices
  • Fraud prevention alerts
  • Account verification requests

User Responsibilities

Users are responsible for:

  • Providing a valid email address.
  • Keeping contact information up to date.
  • Monitoring their email account.
  • Checking spam or junk folders.
  • Ensuring SeenKind emails are not blocked by email filters.

SeenKind is not responsible for missed communications resulting from outdated contact information, spam filters, full mailboxes, or issues with third-party email providers.

Delivery of Communications

SeenKind aims to send communications promptly; however, delivery times may vary due to factors beyond our reasonable control, including:

  • Email provider delays
  • Internet connectivity issues
  • Mobile network interruptions
  • Third-party service outages
  • Technical maintenance

SeenKind does not guarantee immediate or uninterrupted delivery of electronic communications.

Third-Party Service Providers

SeenKind may use trusted third-party service providers to deliver electronic communications, including email, SMS, push notifications, and transactional messaging services.

These providers process information in accordance with their contractual obligations, applicable law, and our Privacy Policy.

Consent to Electronic Records

Where permitted by applicable law, you consent to receive agreements, notices, disclosures, receipts, invoices, and other records electronically rather than in paper form.

You are responsible for retaining copies of important communications for your own records.

If you wish to stop receiving essential service communications, you may close your SeenKind account. Certain legally required or post-closure communications may still be sent where necessary.

While SeenKind uses reasonable security measures to protect electronic communications, no method of electronic transmission or storage is completely secure.

Users should:

  • Protect their email accounts.
  • Use strong passwords.
  • Avoid sharing verification codes.
  • Report suspicious communications that appear to impersonate SeenKind.

SeenKind will never ask for your password by email.

Fraud and Phishing

Users should exercise caution when receiving communications claiming to be from SeenKind.

If you receive a suspicious message, do not click on links or provide personal information. Report the communication through SeenKind's official support channels.

SeenKind may update this Email & Electronic Communications Policy from time to time.

The latest version will be published on the Platform with a revised version number and effective date.

Continued use of the Platform after changes become effective constitutes acceptance of the updated Policy.
